Minutes of Meeting

The President began the meeting at 7:00 pm.

REPORT OF THE OFFICERS

Susan Goldstein, VP Community Affairs: The approved New Resident Letter will be posted on the Arbor Web site and copies given to court reps for distribution to all current and then new residents. CFM will mail copies of the letter to owners.

 

Update from the Pool Committee: The new pool furniture has been very well received. Thank you to Steve for his hard work managing that improvement. The first wine and cheese night had 30+ in attendance—a success by any measure. More wine and cheese parties, as well as family pizza nights are planned throughout July and August. Dates are posted at the front gate of the pool and will be listed in the monthly Arbor Memo. The Fairlington Fins will be using the pool in the first week of July. Dead trees need to be removed by the pool in June.

 

For FY08 pool season, consider getting a cabana to replace the lost shade from removal of a diseased pair of trees; Steve will research cost. Also pending for next year’s pool season and in need of research on the cost for the FY08 budget are updates to the shower areas and if more chairs are needed. 

 

Robert Ingulli, Treasurer: Some meetings have begun for planning the FY08 budget. The Finance Committee will meet in the coming month, in preparation for an informal Q&A with Arbor residents on a proposed budget on Sunday, August 19. Steve will reserve the North Fairlington Community Center. Highlights of the presentation will be posted on the Web site in advance for those who can’t attend the Q&A. The purpose of the Q&A is to help explain how the budget numbers are arrived at and give residents an opportunity to ask the Treasurer questions about the budget prior to its being submitted to the Board of Directors for review at the August Board Meeting and then for final homeowner approval at the September Budget Meeting.

 

Terry Ruth, VP of Buildings: Exterior painting is progressing well. Three courts are done and one is pending. The flashing is looking great and the rotting eaves and woodwork are scheduled to be done in July.

 

 

REPORT OF FACILITIES MANAGER

Steve Kirkpatrick, Facilities Manager: New weather stripping is needed for the B-Unit building main, common entry doors. PODS resolution needs to be passed out to residents. NY Carpet: Steve is waiting on estimate for additional carpet pieces cut for B-Unit building entries that can be maintained (picked up and cleaned) regularly by the Arbor.

 

Remind residents in newsletter: Arlington has notified Fairlington of the 2007 paving season April through November. Watch for temporary “NO PARKING” signs, which will be posted two days prior to work starting. All vehicles must be cleared from the street in question or face towing.

 

 

REPORT OF MANAGEMENT

Virginia condominium act has changed, and accordingly CFM will be charging rush fees for servicing quick turnaround requests for condo docs.

 

Praise for Steve: Travelers Insurance has NO further insurance recommendations for the Arbor after walking the property and reviewing the policy with Steve. This “clean bill of health” and assessment of adequate coverage at the outset is almost unheard of for condominium associations! Thanks, Steve!

 

 

OLD BUSINESS

Mike will contact the Arbor’s lawyer concerning TV satellite placement in relationship to height of Arbor fences and our historical designation. Mike continues to research the query of satellite dish placement and whether or not fences, as “limited common elements,” can have dishes attached or not. Reminder: The Board maintains architectural control for color and cohesion of exterior building. The Board handles issues based on a complaint basis.

NEW BUSINESS

Need electronic version of PODS resolution from CFM for posting on the Web site.

 

Board members need to give President feedback on Facilities Manager’s performance for a formal review.

 

The Treasurer reminded the Board of upcoming contracts with end dates nearing: Facilities Manager; Pool (pending in February 2008); Trash Removal (pursue multi-year contract?); and Integrated Pest Management. Contracts need to be discussed two months prior to expiration. The Facilities Manager should present up to three contracts for new work and ensure renewing costs of current contracts are still competitive and that the Arbor is pleased with the work under review.

 

Board discussed listing an item for the upcoming newsletter to ask residents’ to help in compiling an Arbor owner and resident directory to include e-mail addresses that could be used for future e-communications, such as upcoming projects, general announcements, and delivery of the monthly Memo.

 

The next Board meeting is scheduled for Tuesday, July 24, 2007.
