Minutes of Meeting

 

Board Members Present:      Terry Ruth, Marilyn Beck, Susan Goldstein, James Moser

 

BOARD MEMBERS ABSENT:         Robert Ingulli

 

MANAGEMENT PRESENT:             Mike Maloney, CFM Manager;

Steve Kirkpatrick, Facilities Manager

 

MANAGEMENT ABSENT:                None

 

HOMEOWNERS PRESENT:            Pam Emily

 

 

The President began the meeting at 7:06 pm.

 

 

ACTION ITEMS

 

 

HOMEOWNERS FORUM

Pam Emily asked if pruning trees within a patio, especially a tree that is rotting, is the owner’s responsibility. Yes, the owner is responsible for tree maintenance within the confines of the patio.

 

 

MOTION

 

The contract submitted by an independent pool contractor was withdrawn. No action taken by Board.

 

 

REPORT OF THE OFFICERS

Terry Ruth, VP Buildings:

For the B Unit buildings, competing bids are being sought to upgrade the old vertical mailboxes with newer, larger, US Postal Service-compliant ones. One company has been consulted and a couple others will be contacted as the Board pursues its options; the process is ongoing.

 

Susan Goldstein, VP Community Affairs:

The Arbor Alerts e-mail list has 50 subscribers! The Welcome Arbor booklet has been reviewed by one volunteer who has stepped forward. The edited version will be distributed to Board members for further edits. A thank you reception to recognize the Arbor’s past, present, and future volunteers will be planned preceding the Annual Election Meeting. An e-mail request for more volunteers will be sent via the Arbor Alerts for the Pool & Tennis Committee and the pending Signage Committee.

 

James Moser, VP of Grounds: Fences are 99% complete; minor fixes, missing numbers, etc. are still pending. The replacement trees in Court 1 and 3 need to be planted; we’re waiting on our landscaper. Pruning is pending, too. The Board is concerned about a big oak tree that may fall. Professionals are being sought to evaluate the situation, and the possibility of trimming or cabling to save the tree. The Pool Committee is meeting on Saturday to review the 2008 Pool Rules and possible renovations to the pool house, including replacing the vanities, leaky faucet fixtures and toilets, and painting.

 

Marilyn Beck, President: For newsletter, please remind residents to do spring cleaning to make sure no personal items are on shared stoops or front steps and to make sure satellite dishes are not more than 6” above the fence line, as stated in the Arbor’s bylaws.

 

 

REPORT OF FACILITIES MANAGER

Presented proposals for tree and bush pruning by tot lot; to fill in slope behind tennis courts; to add top soil to areas experiencing erosion. Shared correspondence from Sara Elder re: repair to wood from squirrel damage, letter dated 3/3/08.

 

Presented proposal for Century Pool’s three-year contract. Board approved 3-1.

 

 

REPORT OF MANAGEMENT

Annual Meeting packages will be going out next week. The Board will submit a letterhead template, including the web site address, to Mike for the first page of the package before the end of this week.

 

 

OLD BUSINESS

James and Terry will review and update Architectural Guidelines; timeline TBD.

 

 

DISCUSSION ITEMS

Fence violations will be tabled until spring so fence posts and concrete can settle and so architectural guidelines can be reviewed by the Board.

 

NEW BUSINESS

The next Board meeting is scheduled for Tuesday, April 22, 2008, and the Annual Election meeting is scheduled for Thursday, April 24, 2008, at the Fairlington Community Center at 3308 S. Stafford St.
